Hotel

The American Cancer Society will have a block of rooms at DoubleTree by Hilton Olympia Downtown Capitol District. During the registration process you will be prompted to make your reservation by selecting your required check-in and check-out dates. If you do not need a hotel room, select the 'skip' button located at the top right of the hotel booking page. Upon check-in you will provide your credit card for incidentals only.

 

Important Note

If you choose to arrive earlier or depart later than the dates of the meeting, you are responsible for the additional cost.

This will also need to be pre-approved by the ACS CAN Meeting Stakeholder before booking travel.

To book a hotel room in American Cancer Society's block, follow the steps below:

  1. SELECT your check-in and check-out dates, then click 'SEARCH’
  2. Once you have selected your dates, SCROLL DOWN and SELECT your Room Type
  3. Click 'RESERVE' to continue your registration.

Dress Code

The dress code for the event is business casual. ACS CAN branded apparel is encouraged! And because meeting rooms can be chilly, a light sweater is also a great idea.

General Travel Information

The Volunteer and Staff Travel policy requires all travel reservations for American Cancer Society and American Cancer Society Cancer Action Network meetings be made using the Concur Travel link provided during the registration process. Reservations must be made no less than 14 days prior to departure.

 

COMPLIANCE

American Cancer Society and American Cancer Society Cancer Action Network will pay the lowest logical round-trip airfare (or rail fare when applicable) for all meeting participants. Failure to book travel using the Concur Travel link provided during the registration process will be considered non-compliant. Tickets should not be purchased from third party travel websites or directly with the airlines. 

 

TICKETING

Airfare (and rail fare when applicable) will automatically be direct billed to American Cancer Society or American Cancer Society Cancer Action Network. Personal forms of payment will not be accepted. An electronic reservation confirmation including important travel information will be sent within 24 hours of the ticketing process.

 

CHANGES AFTER TICKETING

Changes and cancellations to airline reservations are permissible only if made for business reasons. For ticket changes or cancellations, contact BCD Travel at 1-866-578-7517.

After you submit your registration, find the link to Concur Travel link located on the Registration Confirmation page.

Change or Cancel My Flight

Changes and cancellations to airline reservations are permissible only if made for business reasons, and will also require approval from the event stakeholder. For ticket changes or cancellations, contact BCD Travel directly. BCD will then contact the meeting stakeholder for approval before any changes are made.

PERSONAL CAR

NOTE: Mileage reimbursement must not exceed lowest available airfare.

  • Staff: Mileage is a reimbursable expense.
  • Volunteers: Should complete registration and reach out to their ACS CAN meeting stakeholder for reimbursement instructions.

 

RAIL

NOTE: Rail ticket charges will be automatically billed to the ACS or ACS CAN central credit card.

  • Staff: Rail should be booked on Concur once the registration has been submitted.
  • Volunteers: Volunteers should complete registration and reach out to their ACS CAN meeting stakeholder to book for them on Concur.
Ground Transportation - Lyft

The American Cancer Society Cancer Action Network has a partnership with Lyft to provide ground transportation to attendees. Please check with your ACS CAN meeting stakeholder for details on how to use Lyft.

REAL ID

Beginning May 7, 2025, every air traveler 18 years of age and older will need a REAL ID-compliant driver’s license, state-issued enhanced driver’s license, or another acceptable form of ID to fly within the United States. For information by state, visit the Department of Homeland Security’s REAL ID website and click your state on the map.

  • Bring your own reusable water bottle to avoid single-use plastic.
  • Bring your own coffee mug to reduce waste from disposable cups.

  • Access meeting materials on your devices instead of printing them out.

  • Opt for vegetarian or vegan options when available to reduce environmental impact and promote healthier eating.
  • Only take what you will eat to minimize food waste.

5 Conserve Resources

  • Turn off lights and electronics when leaving your hotel room.
  • Use towels and linens more than once during your stay.
  • Decline housekeeping services during your stay.

6 Participate in Recycling

  • Dispose of waste properly by using recycling bins for appropriate materials.
  • Recycle your room key at the end of your stay.

7 Choose Sustainable Transportation

  • If traveling to the venue, consider carpooling, using public transport, or opting for shared rides.

8 Carbon Footprint Awareness

  • Air travel accounts for about 85% of an event's carbon footprint. To reduce your impact, consider these best practices when traveling:
    • Choose Direct Flights: They produce fewer emissions.
    • Fly Economy Class: More passengers help spread emissions.
    • Offset Your Carbon Emissions: Support projects like reforestation.
    • Pack Light: Lighter luggage saves fuel.
    • Use Public Transportation: It lowers emissions to and from the airport.
